Introduction and Agreement
These Blue Pine Trails terms and conditions govern all trekking, tour, transportation, accommodation, guide, porter, and related travel services booked through Blue Pine Trails (“the Company", "we", "us", or “our”).
By making a booking, the client or traveller (“you” or “your”) confirms that they have read, understood, and accepted these terms. They form part of the agreement between you and Blue Pine Trails, so please review them carefully before confirming your travel plans.
In these Nepal trekking terms and conditions, a "Trip", "Trek", or “Tour” means any itinerary or travel service arranged by us. A “Booking” is your confirmed reservation for those services, and the “Departure Date” is the scheduled date on which your trip begins.
These trekking company terms and conditions apply to every traveler named in a booking, including anyone booked by another person on their behalf. If you make a booking for a group, you confirm that you have authority to accept these terms for all group members.
Booking and Reservation
You can book a Nepal trekking tour through our website, email, direct contact, or an authorised agent. A booking request is not confirmed until Blue Pine Trails checks availability and receives the required deposit.
Request → Availability Confirmation → Payment → Booking Confirmation → Remaining Balance
We may require your full name, passport details, nationality, travel dates, contact information, and any important medical or dietary requirements. Accurate information is essential for permits and travel arrangements.
Prices are generally quoted in USD unless confirmed otherwise. Payments made in another currency may be subject to exchange rates or charges set by your bank or payment provider.
Your Nepal trekking booking is confirmed only after availability and payment are approved by us.The remaining balance must be paid by the deadline stated in your booking confirmation. If payment is not received on time, Blue Pine Trails may release reserved services or cancel the booking without further liability
Booking Deposit and Payment Terms
- Booking Deposit: 20% of the total trip cost (non-refundable)
- Remaining Balance: 80%
- Payment Deadline: 2 days before the trip begins
Blue Pine Trails requires the stated deposit to confirm your booking. The deposit is non-refundable and is subject to the cancellation policy
Payments are accepted in [USD / NPR / accepted currencies]. If payment is made in a different currency, the exchange rate used by the bank, card provider, or payment platform will apply. Any bank transfer, card processing, or currency conversion charges are the traveller's responsibility.
The remaining balance must be paid by the stated deadline. If payment is not received on time, Blue Pine Trails may release reserved services or cancel the booking without further liability. Please ensure all payments are completed early enough to avoid disruption to permits, accommodation, transport, or other trip arrangements.
Payment Methods and Processing Fees
To secure your booking, you must make either the required advance deposit or the full trip payment through our booking system. The outstanding balance is payable in Kathmandu before your trip begins.
We accept payments in major currencies, including USD, EUR, GBP, SGD, CAD, and AUD. If you pay in a currency different from the trip price quoted to you, the amount will be calculated using the exchange rate available on the date of payment.
Credit and debit card payments are welcome; however, a 4% bank processing fee will be added to the total amount payable. This fee is charged by the payment provider and applies to all card transactions. To avoid confusion on arrival, please confirm your payment method with Blue Pine Trails before making the final balance payment.
(Note: Any specific restrictions on denominations or older USD notes will not be accepted.)
Last-Minute Bookings
A last-minute Nepal trekking booking is made within 2 days before the trip starts. Unlike regular bookings, these arrangements depend on immediate availability and cannot be guaranteed.
Full payment is required to confirm a last-minute trekking booking in Nepal. Refunds are subject to our cancellation policy. Urgent permits, flights, transport, accommodation, or guide arrangements may also involve additional charges, which will be explained before confirmation.
Cancellation and Refund Policy
A 20% advance payment is required to confirm a booking and is non-refundable. This amount is used to secure permits, airline or domestic flight tickets, hotel reservations, transport, and services arranged through guides, lodges, airlines, and other suppliers.
All cancellations must be submitted in writing. The date we receive your cancellation request determines the refund amount.
